How to Prepare and Discuss Your Meeting Agendas with Geekbot
When you first start using Geekbot, you’ll see that it offers pre-made templates for daily standups, retrospectives, surveys, and other use cases.
In this case, we want to create a custom meeting agenda by clicking on the blue “Build your own” text above the templates.
From here, you can:
Write down your agenda questions.
Choose which teammates receive the questions in Microsoft Teams.
Choose the Microsoft Teams channel where the responses will be posted.
Write Down Your Agenda Questions and Select Who Receives Them
With Geekbot, there’s no limit to the questions you can include, so you can cover everything relevant to the upcoming meeting.
For example, say you have a weekly Monday meeting to get everyone aligned for the week ahead. In that case, you can include questions like:
What items should be included in the agenda for today’s weekly meeting?
Is anyone facing challenges or blockers that another team member can help with?
Anything we forgot to discuss or do last week?
(And any other questions that may be relevant.)
Additionally, each member of your Microsoft Teams channel is automatically synced into Geekbot. This makes it easy to select all meeting participants by typing in their names.
You can also set up Geekbot to post the answers to these questions in any Microsoft Teams channel (e.g., in the “Development” channel for weekly dev standups).
Additionally, Geekbot can also help you prepare for upcoming meetings with questions like:
What’s the most important thing I have to discuss at today’s meeting?
Who on the team will I need to collaborate with throughout the week?
Answering similar questions is a great way to get ready for meetings in advance, so you don’t have to think of everything you want to say on the spot.
Schedule and Send the Agenda Prep Questions
Geekbot lets you send one-off agenda questions or select a regular frequency at which questions get sent. You can choose any frequency you want:
Every day (e.g., at 9:30 AM to prepare for the daily standup at 10:00 AM)
Every week (e.g., at 2:00 PM each Thursday to prepare for a weekly retrospective at 3:00 PM)
Every two weeks
Every three weeks
Every four weeks
First week of the month
Last week of the month
Any other type of schedule you want
At the specified date and time, Geekbot notifies the selected participants that it’s time to answer the questions via a Microsoft Teams DM.
Then, Geekbot will broadcast the answers in a Microsoft Teams channel of your choosing.
The benefit of posting the agenda questions and answers in a channel is that team members can get on the same page before the meeting. Everyone on the team can add items to the agenda or provide feedback on why certain items shouldn’t be included.
Optional Follow-Up Reminders
In some cases, you (or your colleagues) may receive the agenda questions while in a flow state, client meeting, or another inconvenient situation. That’s why Geekbot also has optional reminders, which can help you remember to prepare for the meeting later, without disrupting your current task.
Again, these are completely optional, so they aren’t obtrusive or annoying.
